2023 Member Survey - Handling of Minutes and Communications
Common Themes from the Survey
One of the items mentioned often in the Membership Survey was that meetings are too long and that members are bored by the reading of minutes and communications. Legislation has been submitted for consideration at Grand Chapter in 2024 which would increase the number of short form meetings allowed. Here are some suggestions regarding minutes and communications:
- Email minutes to all members prior to the meeting and do not read minutes at the meeting. For those who don’t have email, the Secretary can bring a few printed copies to the meeting.
- Many Secretaries are now emailing communications to their members which is a great idea. Then at the meeting, the Secretary may just read the event, location, date and time. For those who don’t have email and for others who would want to see details at the meetings, have printed copies at the Secretary’s desk or some other location or post on a bulletin board.
- Communications requiring action (for example, requesting a donation) can be summarized.
If time spent on minutes and communications can be shortened, this allows more time to discuss fundraisers and chapter projects or to have a speaker, program or entertainment which will be more interesting to members.
